Privacy Policy
This policy explains what information Syked!, LLC (“Syked,” “we,” “us”) collects when you visit syked.io, contact us, book a call, use our client portal, or buy a website through our Site Previews program, and what we do with it. We try to collect as little as we need and to be clear about why. This document is a template and should be reviewed by qualified legal counsel before it is published or relied on.
1. What we collect
Information you give us: your name, email address, phone number, business name, website address, and anything you write in a contact form, project brief, email, or scheduling request. If you become a client, we also keep project details, feedback, files you share with us, and billing contact information.
Information collected automatically: when you visit our site or client portal, we receive standard technical data such as your IP address, browser type, device type, pages viewed, referring page, and approximate location derived from your IP address. When you log in to the client portal, we record sign-in times and the preview pages you open so we can keep your account secure and know when a preview has been reviewed.
Information from others: if we prepare a Site Preview for your business, we may use publicly available information about it, such as your business name, address, hours, photos, and reviews from public listings or your existing website.
2. How we use information
We use your information to reply to your messages, schedule and hold calls, prepare proposals, deliver design and development work, run the client portal, process payments, send invoices and receipts, and provide ongoing care plan support.
We also use it to keep our site and portal secure, prevent fraud and abuse, understand how people use our site so we can improve it, and meet our legal, tax, and accounting obligations. If you subscribe to our newsletter or ask for updates, we use your email address to send them, and every message includes a way to unsubscribe.
We do not sell your personal information, and we do not use it to build advertising profiles.
3. Cookies and analytics
We use a small number of cookies. Essential cookies keep you signed in to the client portal and remember basic preferences. Analytics cookies help us understand which pages are useful, how visitors find us, and where our site could be clearer. Analytics data is reported to us in aggregate and is not used to identify you personally.
You can block or delete cookies in your browser settings. If you block essential cookies, parts of the client portal may not work. Where the law requires it, we will ask for your consent before setting non-essential cookies, and you can change that choice at any time.
4. Payments
Payments for Site Previews, projects, and care plans are processed by Stripe. When you pay, your card details go directly to Stripe over an encrypted connection. Syked never sees or stores your full card number or security code.
Stripe shares limited information with us so we can manage your account, such as your name, email address, billing address, the last four digits and brand of your card, and the status of each payment. Stripe’s own privacy policy explains how it handles your payment information.
5. Sharing and service providers
We share information only with service providers that help us run the studio, and only as much as they need to do their job. These include our website host, payment processor (Stripe), scheduling tool, email and newsletter provider, analytics provider, file storage, and accounting software. Each is bound by its own terms to protect your information and use it only on our behalf.
We may also share information if the law requires it, to protect our rights or the safety of others, or as part of a merger, acquisition, or sale of the business, in which case we will ask the new owner to honor this policy. With your permission, we may share your name and project in our portfolio or in a testimonial.
6. How long we keep information
We keep information only as long as we need it for the purpose it was collected. Contact form messages and inquiries that do not lead to a project are generally deleted within 24 months. Client project records, invoices, and payment records are kept for as long as needed to support the work and to meet tax and accounting rules, which is usually seven years.
If we prepared a Site Preview for your business and you do not unlock it, we remove the private preview link and the related draft within 12 months, or sooner if you ask.
7. Security
We use reasonable technical and organizational safeguards to protect your information, including encrypted connections, private preview links, password-protected portal accounts, access limited to the people who need it, and reputable service providers with strong security practices.
No system is perfectly secure. Please keep your portal password to yourself, and tell us right away at ben@syked.io if you think your account has been accessed without your permission. If a breach affects your personal information, we will notify you as required by law.
8. Your rights and choices
Depending on where you live, you may have the right to know what personal information we hold about you, get a copy of it, correct it, delete it, or opt out of certain uses. You can also unsubscribe from marketing emails at any time using the link in each message.
California residents: under the California Consumer Privacy Act, as amended, you have the right to know, access, correct, and delete your personal information, to opt out of its sale or sharing, and to not be discriminated against for using these rights. We do not sell or share personal information for cross-context behavioral advertising. Texas residents: under the Texas Data Privacy and Security Act, you have similar rights to confirm, access, correct, delete, and obtain a copy of your personal data, and to appeal our decision if we decline a request.
To make a request, email ben@syked.io. We will confirm your identity before acting on it and respond within the time the law allows, usually 45 days. You may use an authorized agent to make a request for you. If we decline your request, you can appeal by replying to our decision, and we will review it again.
9. Children
Our site and services are meant for businesses and adults. We do not knowingly collect personal information from children under 13. If you believe a child has given us personal information, contact us and we will delete it.
10. Changes and contact
We may update this policy as our services or the law change. When we do, we will change the date at the top of this page, and if the change is significant we will let clients know by email or in the client portal.
